How desk phones work with CallFactory

Your CallFactory number is a virtual number. When a call comes in, the platform forwards it to the destinations you have configured — including desk phones. The desk phone rings like any normal incoming call. The caller does not know whether you are answering from a desk phone, a mobile, or a softphone.

Desk phones connect to our platform over the internet (VoIP). Because the phone sits on your local network at a fixed location, the connection is stable and our platform can reach it reliably. This makes desk phones the most dependable VoIP option — but they do require a working internet connection. For situations where internet or power may go down, mobile phone forwarding is the more reliable fallback.

Recommended hardware

If you want desktop phones in your office, the Ubiquiti UniFi G3 series is the way to go. Launched in 2025, the G3 range features a polycarbonate casing that feels solid and professional, gigabit ports to link your computer through the phone, and is easy to program and set up with our platform.

The G3 Touch Pro has a 5" touchscreen — ideal for most desks. The G3 Touch Wall and G3 Touch Enterprise offer a larger 7" touchscreen for reception areas or power users. All models include a high-performance speaker, Bluetooth support, and an ergonomic headset with a dedicated mute button. A wireless handset is available separately — useful if you want to walk to the kitchen while on a call.

We also work with Yealink, a more affordable Chinese brand offering plastic desktop phones. Yealink is a good option if you need to equip a larger team at a lower cost per device.

CallFactory is not locked to a single vendor. If you already have VoIP phones from another brand, we can configure them to work with our platform.

Desk phones are the right choice for roles where someone is at a fixed location with a reliable internet connection. Reception desks, support teams, sales floors, and office-based staff. Unlike softphones, a desk phone does not close in the background, does not compete with other software for audio resources, and is always ready to ring.

If you need to be reachable even when the internet is down, add a mobile phone as a fallback destination in your phone team. The platform will try the desk phone first and fall back to the mobile if it cannot connect.

There is no separate monthly fee for connecting a desk phone to our platform. You pay for the hardware itself and any applicable call forwarding costs.
