How the voicemail system works
When a caller reaches your number and no one picks up — because all extensions are busy, the queue times out, or you are outside office hours — the voicemail activates. The caller hears your greeting and can leave a message. The message is recorded and sent to your email address as an audio file attachment.
You can also configure voicemail as a fallback after a call queue. If the queue reaches its maximum wait time and no one is available, the caller is offered voicemail instead of being disconnected. This catches the calls that would otherwise be lost during peak periods.
Custom greetings
The greeting callers hear is fully customisable. Record your own message on your mobile phone and send us the audio file, or use CallFactory’s text-to-speech assistant to generate a professional greeting from text. Change the greeting at any time — some businesses update it seasonally, during holidays, or when running specific campaigns.
A good greeting tells the caller who they have reached, that no one is available right now, and that they can leave a message. Keep it short and professional. For example: “You have reached Smith & Partners. We are currently unavailable. Please leave your name and number and we will call you back as soon as possible.”
Message-only and announcement-only modes
Voicemail is not just a fallback for missed calls. You can also use it in message-only mode, where callers go straight to voicemail without the phone ringing first. This is useful for dedicated order lines, feedback numbers, or tip lines where you want callers to leave a message rather than speak to someone.
There is also an announcement-only mode, where callers hear a message but cannot leave a recording. The call ends after the announcement. This is useful for communicating office closures, temporary changes, or emergency information without filling your inbox with voicemails.
Multiple recipients and email delivery
Voicemails are delivered as email attachments in standard audio format. You can listen to them on any device without installing additional software. Add multiple email addresses so the right people receive the messages — the receptionist gets voicemails from the main number, the sales team gets voicemails from the sales line, and the director gets voicemails from the management number.
Combined with call statistics, you can track not only how many voicemails you receive but also when they come in, which helps you identify patterns and adjust your availability accordingly.
