AI bots

Two kinds of AI bots. You can call one of them right now.

One kind talks to your callers. The other runs your phone system, so you can change an opening time by asking for it instead of looking it up. They have a name in common and nothing else.

Talks to your callers

Virtual receptionist, voicebot, outbound operator

Sits in your routing, just like a phone or a queue. Answers, does something, or makes calls itself.

Talks to you

AI agent and in-app assistant

Operates the settings of your phone system. Never sees your callers and never speaks to them.

Talks to your callers

Three bots that handle the phone

The difference is not how smart they are, but how much work you give them. The first puts calls through. The second does the work itself. The third makes the calls.

Answer and put through

Virtual receptionist

Your phone menu, but spoken: the caller says what the call is about, the receptionist compares that with your keywords and puts the call through to the person or team it belongs with. It does not hold a conversation and looks nothing up, but it makes sure the phone gets answered and the caller reaches the right person.

Choose this one if your problem is that the phone rings and nobody answers.

Handle the call

AI voicebot

Does the work during the call: looks up a property, books a viewing, takes an order and works out the total, or checks whether an urgent job is within the service area. By the end there is an appointment, an order or a note.

Choose this one if answering is not enough and something has to happen.

Make the calls

Outbound operator

The only one that starts the call itself. Calls for reminders, confirmations and follow-ups — the rounds someone else would spend the whole afternoon on — and records the outcome of each call.

Choose this one if the work is making calls, not taking them.

The proof

Hear one, right now

A voicebot is the one thing we sell that you can judge without talking to us. Three UK lines are open, and you call them at your international rate. Call one and try to trip it up — that is exactly what you want to find out before you buy anything.

Eva — real estate agency

Qualifies what buyers are looking for, books viewings and records callback requests from sellers.

Try: “I am looking for a home in Islington” · “I would like to cancel my viewing”

+44 161 568 3665

Sander — plumber

Assesses the urgency, asks follow-up questions about the problem and checks whether the address is within the service area.

Try: “My drain is blocked” · “Do you cover the M20 postcode area?”

Daan — takeout restaurant

Takes a pickup order from the full menu, works out the total and reads it out loud.

Try: “Give me a patatje oorlog and a frikandel speciaal”

And for your industry? It isn’t listed, and that is the point. Every bot above was written for one business and one kind of call. There is no catalog to choose from — there is a conversation in which we work out what your callers ask.

Talks to you

AI that runs your phone system, not your callers

This is the other half, and it has nothing to do with callers. You describe in plain English what needs to change in your phone system — an opening time, a call forwarding rule, a colleague who is away next week — and it is prepared for you.

In your own AI

AI agent for your phone system

Connects your CallFactory account to Claude, ChatGPT or Gemini. Your phone system becomes something your AI can reach, next to your calendar and your documents.

Example

You

How many calls came in on line 4 yesterday?

AI agent

182 calls, averaging 2 minutes 48 seconds.

In our dashboard

In-app AI assistant

The same controls, but in the chat window of your own dashboard. Handy for colleagues who don’t use an AI of their own and don’t want to set one up.

Example

You

Set our line to closed this coming weekend.

Assistant

Prepared for Saturday and Sunday. Approve?

It is one engine with two front doors: both talk to the same system and can do the same things. And in both cases, a change is prepared first and only applied once you approve it. The AI cannot quietly switch anything on.

Not a bot

Text to speech is a feature, and it's included

Until now it sat among the bots as if you had to choose between them. You don't: it is not a bot, it talks to nobody, and it costs nothing extra.

You type the message, you choose a voice, and it's live

For your welcome message, your phone menu, your voicemail and your queue announcements. Want different wording next week? Then you type it differently — no recording studio, no waiting, no voice actor to hire again for a single sentence.

To be honest

Where the bot hands over

A bot can take over the work of your front desk — on the takeout line, Daan already does all of it. But there are three calls it should not finish, and it needs a way out for them. That is not a ceiling, it is a requirement for how you set it up.

Angry, upset or panicking callers

They belong with a person, right away. A bot that stays cheerful while someone is distressed makes things worse instead of better — however well it works otherwise.

Commitments that bind you

A quote, a cancellation, a complaint that could turn into compensation. Taking an order and reading out the total is fine; making a promise you are bound by is something else.

The call that falls outside the script

There is always one, even on a line that otherwise runs fully automated. The bot doesn’t have to solve it — there just has to be one route by which the caller still reaches someone.

Getting started

Two business days, and it's on the line

There is no do-it-yourself builder and no price list, because no two bots are the same. What there is: a conversation in which we work out what your callers ask, and then we build it.

Day 1

The conversation

We ask what your callers ask most often and what needs to happen next. Usually that is three or four things, and we build around them.

Day 1–2

We build, you listen

You get a number to call yourself before anything goes live. If it sounds wrong, we adjust the wording while you listen in.

Day 2

On the line

The bot becomes a destination in your routing, next to your phones and your queue. From then on you change the wording yourself; we keep the flow up to date.

Frequently asked questions

What people want to know first

Often, yes, and that is intended. Our bots do not pretend to be a colleague. They sound natural and they do not interrupt, but they do not pose as someone who is not there — that falls apart sooner or later, and then you have lost trust instead of a call.

Yes. The bot sits in your routing as a destination, just like a phone or a queue, and puts calls through to the person or team you choose for that.

No. We build the bot, you tell us what it needs to do. After that you make changes in plain English, in the dashboard or through your own AI.

It can, through an integration. Whether that fits within the same two business days depends on the system — we tell you in the first conversation, not afterwards.

Processing and storage take place within the EU, under a data processing agreement. We do not use call content to train models, and that is set down in the contract. Recordings are kept for thirty days at most.

There is no list of systems we do and do not support. Your CRM, your calendar, your knowledge base or whatever else you use: we build the connection to fit. What is possible depends on what your system offers on the other side, and we find that out before we start.

That depends on what it needs to do and how many calls go through it, so there is no amount here. You get a price in the first conversation, before anything is built.

AI bots answer incoming calls, qualify leads, put callers through to the right department and automatically collect the key details. They also support outbound campaigns, such as reminders or follow-ups, so your team has less manual work while response times stay short and consistent.

Yes. AI bots work around the clock without breaks, so callers are always answered, including outside office hours and during busy periods.

Yes. You decide the scripts, the routing rules and the conversation logic. Depending on the setup, you can also set the voice characteristics and the way it answers.
